@amazingwarlord I would give at least two months prior notice. You could have people coming from different parts of the country just to visit. Pros as well as enthusiast. Plus you got to confirm the date and the location and make sure the logistics are in place. You had mentioned June 13. I think that might be way too quick.
I’ve only been involved with three Cuddle meet ups. Two in Chicago one in Tennessee. But I’ve been to other public gatherings.
Besides location find out if there’s transportation to and from the location. There’s some basics you gotta think about.

I've been to about a dozen of these events now, little more time to plan logistics helps everyone involved.
And sometimes you cannot force a certain amount of people saying yes to do an event like this, it's not about the numbers, it's about community connection.
I've seen a whole array of different volumes of people at these events, and good times were had either way, so no worries there. ☺️
And even if someone says yes, that's not a guarantee that they will show the day of the event. Life happens and stuff comes up.
